Join an Organization
An organization is your company’s workspace in QuanFi VMS. All vendors, documents, and tasks belong to an organization. You join one by invitation (or by creating your own when you sign up alone).
How invitations work
- An Owner or Admin opens Team.
- They enter your email and choose a role.
- QuanFi creates an invite and a link (path like
/invite/...). - QuanFi emails the invite to you automatically. Your admin can also copy the link and send it another way.
- You open the link, sign in with that same email, and Accept.
Steps for the invited user
1. Open the invite link
Use the full link from your admin. Do not modify the token at the end.
2. Sign up or log in
- If you are new: Sign up with the exact invited email.
- If you already have an account: Log in with that email.
3. Accept the invite
On the invite page, confirm the organization name and role, then click Accept invite.
4. Land on the Dashboard
You should see that organization’s name in the sidebar and your assigned role.
Roles you might receive
| Role | Typical meaning |
|---|---|
| Viewer | Mostly read access |
| Buyer | Day-to-day vendor and document work |
| Manager | Broader operations; approvals on eligible plans |
| Admin | Team and many settings |
| Owner | Full control including billing |
Common problems
| Problem | Solution |
|---|---|
| “Invite not found” | Link invalid or already used — ask for a new invite |
| “Invite expired” | Invites expire (often within ~7 days) — request a new one |
| Email mismatch | Sign out; sign in with the email on the invite |
| “Seat limit reached” | Org is full on Free (2 seats) or at plan cap — admin must upgrade or free a seat |
| You’re in the wrong org | You may have created a personal org at signup — switch org if Multi-org is enabled, or use the invite path only |
Creating your own organization instead
If nobody invites you and you sign up yourself, QuanFi creates an organization automatically and makes you Owner. That is separate from joining a company via invite.
